Overview
Admin & Receptionist is accountable for handling reception and administrative duties to efficiently support Manager Office Administration and employees in other Functional units.
Responsibility
Reception duties
+ Provide Tea Break for meetings when required
+ Make administrative purchases including book flight tickets, flowers, and accommodation; coordinate the company vehicles for employee’s business trips
+ Support Manager Office Management to manage Grab, Taxi and car rental expenses etc.
+ Maintain booking schedule of meeting room in the company office
+ Handle all in & out courier/express delivery services to relevant departments
+ Greet visitors, help them navigate through office to meet/ contact the appropriate hosting employees
+ Take messages when the person visitors approach for is not available
+ Answer incoming calls on the switchboard and distributing the calls accordingly and accurately
Payment and administration duties
+ Perform other tasks as assigned by Manager Office Management
+ Provide assistance to BOD Office when required
+ Make payment, advance payment and other office expenses as assigned by Manager Office Management
+ Support Admin specialist to deliver benefit to employees
Corporate seal and document management
+ Support Admin specialist to check and publish corporate seal on legal document in accordance with company regulation
+ Ensure 100% compliance without violating to procedures, policies of division/ department and Company.
+ File, monitor and extract in/out documents.
+ Participate fully 100% in training, internal sharing, communication programs and events organized by Company
Deliverables
+ Timely support in reception and administration task
+ Effectively manage and arrange meeting room booking
Yêu cầu công việc
Background/ skill
+ At least 2 year of experience in administration, customer service, secretary or similar roles
+ Associate’s degree or higher in Economics/ Business Administration, Archives- Records Management or related fields
+ Knowledge on administrative and secretarial procedures, document processing software, records management, knowledge on templates and formats standardization
+ Experience in Reception, Events is an advantage
+ Proficient in MS Office and office management software
