Because of business demand, we are in need of recruiting 01 Assistant to General Director in Ho Chi Minh.
+ Work location: HCM Branch office, 15th floor, Lim Tower 3 Building, 29A Nguyen Dinh Chieu, Sai Gon ward, Ho Chi Minh city
+ Working time: 5 days/week (Monday- Friday)
+ Report to: Japanese General Director
Job summary:
This position provides comprehensive executive and administrative support to General Director to ensure smooth daily operations. The role manages schedules, coordinates meetings and business travel, and prepares reports and key documentation.
Detailed job description:
Oversee administrative (office supplies and business card management, invoice checking, etc.) and hospitality matters (business dinners arrangement, visitor reception), and corporate correspondence (e.g., thank- you letters and gift arrangements) (10%);
Organize and coordinate meetings, including preparation of materials and logistical arrangements for key meetings such as Board of Directors meetings, Management meetings, etc. (10%);
Other tasks as assigned (5%)
Manage executives’ schedules, appointments, and priorities, while coordinating closely with secretaries of group companies to ensure seamless communication (15%);
Provide comprehensive secretarial support to General Director, ensuring smooth daily operations and effective executive assistance (20%);
Manage and maintain important corporate documents such as contracts, ensuring proper filing, tracking, and confidentiality (10%);
Arrange business trip, including booking flights, accommodations, and preparing necessary travel- related documentation (10%);
Prepare and compile various internal and external documents, including meeting materials, official correspondence, and monthly or quarterly reports (10%);
Prepare accurate meeting minutes, maintain proper records, and follow up on action items as required (10%);
