JOB PURPOSE
+ To coordinate documentation, data tracking, and logistics activities that enable effective planning and implementation of trade marketing and activation initiatives.
+ Handle multiple responsibilities related to administrative management all trade promotion programs from implementation to announcement & evaluation & payment to achieve departments targets.
MAIN TASK
Execute administrative management all trade promotion programs
Trade Deployment
+ Inform trade to Official Distributors (OD) by Inform Letters (Trade Memo) via email & EMS.
+ Inform trade to Retailers (RTL) by Fibo SMS / Zalo OA / Leaflet.
+ Register trade programs with Industry & Trade Department.
Trade Follow- up
+ Follow up pending programs with CC- > send out pending reports bi- weekly.
+ Update & record the approved programs in Trade MKT schedule file.
+ Export weekly volume of Bag Cement.
Trade Evaluation & Payment
Work with internal & external team to ensure on time in full reward of all trade programs:
+ Prepare Payment Letters & details list to Distributors/ Retailers.
+ Request Sales coordinators to report final Sales volume monthly.
+ Consolidate and cross- check Volume allocation report from OD to ensure right volume payment to retailers.
+ Prepare Payment email to get approval from Commercial Director.
+ Support in preparing promotion evaluation form and relevant document.
+ Cross check and follow- up payment procedure of Customer Care.
Purchasing management
+ Lead and consolidate for voucher in- out and control expiration date to payment to customers
+ Collaborate with finance to control Accrual with Actual spending & manage stock of promotion items.
+ Manage effective cash flow of in advance purchasing to vendor
+ Provide recommendations and consult related to purchasing for Marketing, mainly in BA team
+ Forecast and plan for purchasing promotion items, services (quarterly, monthly, weekly).
+ Control purchasing order & coordinate between departmental levels
+ Closely work with 3rd party vendors for tracking delivery on time
Trade compliance control
+ Support customers to consolidate historical trade document for audit purpose.
+ Track and review all trade promotion document regularly to ensure all programs are in comply with tax and legal regulation.
+ Keep contact with internal tax & legal consultants to update and interpret new regulations of tax & legal related to trade promotion implementation to internal BA executive.
Follow up and implement communication net- working
+ Check internal mail and response accordingly.
+ Actively join cross function meeting if any.
+ Participate actively trainings and any program held by the company.
