Currently, we are looking for Document Controller to join our Legal team.

Job Summary
The Document Controller is responsible for handling, organizing, and maintaining corporate, legal, and project documents of the Company. The role supports document filing, updating, tracking, and retrieval, and assists in preparing documents for internal operations, licensing, and review purposes. This position coordinates with the Legal Team and internal departments to ensure documents are accurate, confidential, and available in accordance with internal procedures, under the supervision of the Legal Manager/Team Leader.
Key Responsibilities
Document Management & Filing (50%)
- Update and maintain document registers, tracking logs.
- Receive, classify, update, code, store, archive, and retrieve documents accurately and in a timely manner.
- Maintain physical and digital document filing systems, ensuring accuracy, consistency, and confidentiality.
Corporate Records & Licensing Support (15%)
- Assist in preparing and collecting documents for licensing procedures, applications, and renewals.
- Prepare document sets for internal review, audit, or inspection.
- Maintain and update corporate documents including licenses, approvals, legal notices, compliance records.
Internal Coordination & Communication (15%)
- Coordinate with internal departments to collect information and documents requested by the Legal Team.
- Provide documents to authorized stakeholders while maintaining confidentiality.
- Assist in preparing documentation for meetings, reporting, and internal governance.
- Assist the Manager and all other team members in any other matters as so required from time to time.
Administrative Support (20%)
- Perform basic document translation (VN–EN) when required.
- Perform any other duties assigned by the Legal Manager/Team Leader.
- Support Legal Manager and Legal Team in administrative and documentation tasks.
Yêu cầu công việc
Proficiency with Microsoft Office.
College/University degree in Archival Science, Office Administration, Document Management, Library & Information Science, or related fields.
Detail‑oriented, accurate, careful, and trustworthy, with strong document‑handling discipline.
Hard‑working, disciplined, proactive, with a high sense of responsibility.
01 year of experience in document control, records management, legal admin, office admin, or similar roles.
Preference for candidates with professional certificates in document control or records management.
Good English reading and writing skills.
