KEY RESPONSIBILITIES
Business Process Analysis & Requirements Gathering
•Collaborate with department heads and key users across Finance, Accounting, Procurement, Inventory/Warehouse, Store Operations, and Administration to understand current (As- Is) business processes.
•Prioritize requirements in alignment with project milestones and business impact.
•Conduct workshops, interviews, and on- site observations at store locations to elicit business requirements.
•Translate business requirements into clear Functional Specification Documents (FSDs), Change Requests (CRs), and user stories for the development team.
•Analyze and document To- Be processes, identifying opportunities for process optimization and standardization across 40+ store locations.
ERP Configuration & Vendor Coordination
•Act as the primary liaison between AFVN departments and external vendors (POS system provider, e- Invoice platform, accounting software partners) to articulate new requirements, manage change requests, and coordinate issue resolution.
•Prepare and maintain integration mapping documents outlining data flows between the ERP system and third- party platforms.
•Participate in technical design reviews to ensure solutions align with business objectives and compliance standards.
•Work closely with the internal development team and/or outsourced development partners to ensure ERP modules are configured and customized according to approved specifications.
Testing, Quality Assurance & Training
•Verify that delivered solutions meet business requirements, accounting compliance, and user expectations before go- live.
•Author Standard Operating Procedures (SOPs) and user manuals for ERP modules and business processes.
•Develop comprehensive test cases and test scripts based on functional specifications.
•Conduct System Integration Testing (SIT) and coordinate User Acceptance Testing (UAT) with business users, ensuring defects are tracked and resolved in a timely manner.
•Plan and deliver end- user training sessions, including hands- on workshops for store managers, accountants, and warehouse staff.
Master Data & System Administration
•Create, validate, and maintain master data in the ERP and POS systems, including item masters, pricing structures, vendor records, charts of accounts, and cost centers.
•Perform IT administrative tasks as assigned by the IT Manager, including documentation, reporting, and coordination with internal and external parties.
•Support data migration activities: data cleansing, mapping, loading, and reconciliation.
Stakeholder Management & Communication
•Prepare project status reports, meeting minutes, and presentation materials for management review.
•Build and maintain strong, trust- based relationships with key stakeholders across all levels.
•Promote a collaborative, knowledge- sharing, and inclusive team environment within a multicultural organization (Vietnamese- Japanese business culture).
•Act as the primary point of contact between business units, the IT team, and third- party partners for ERP- related matters.

Required
Education
•Bachelor’s degree in Business Administration, Finance, International Trade, Accounting, or a related discipline.
Experience
•Experience working either as an internal BA (customer- side) or as part of an ERP implementation vendor team.
•Hands- on experience with at least one recognized ERP platform (e.g., SAP, Oracle, ERPNext, Odoo, FAST, or equivalent).
•Experience in one or more of the following industries: Food & Beverage, Retail, Services, Entertainment, Finance, or Audit & Tax Consulting.
•Minimum 2 years (up to 5 years preferred) of experience as a Business Analyst in full- cycle ERP implementation projects.
Domain Knowledge
•Solid understanding of core ERP business processes in at least two of the following areas: Selling & Distribution, Procurement & Purchasing, Inventory & Warehouse Management, Financial Accounting & Controlling.
•Practical knowledge of Vietnamese Accounting Standards (VAS) under Circular TT200 or TT99, and/or International Financial Reporting Standards (IFRS).
Skills & Competencies
•Good command of English (reading and writing required; speaking is a plus).
•Strong analytical mindset with exceptional problem- solving capabilities and attention to detail.
•Excellent documentation skills: ability to produce clear FSDs, SOPs, test cases, and training materials.
•Excellent communication, presentation, and interpersonal skills with the ability to work effectively across cross- functional and multicultural teams.
•Proficiency with MS Office (Excel, Word, PowerPoint, Visio) and process modeling tools (BPMN, flowcharting).
Preferred
•Experience with multi- entity or multi- store ERP deployments.
•Basic SQL or data query skills for reporting and data validation purposes.
•Experience with Agile/Scrum or hybrid project management methodologies.
•Familiarity with POS system integration, e- Invoice platforms, or payment gateway systems.
•Knowledge of data migration methodologies and tools.
•Reading ability in Japanese is a significant advantage.
•Understanding of Japanese business culture and communication practices.
