JOB DESCRIPTION

SCOPE OF WORK
Sales Administration

Support in managing and following up contracts, payments, client records and related procedures during service implementation.
Coordinate with BOD and departments in operational tasks, information consolidation and cross- functional activities supporting business operations and company projects.
Support reporting, data consolidation and other operational tasks as required by management.
Support in preparing, managing and maintaining business- related documents and records including quotations, contracts, MOUs, invoices, payment documents and other related materials.
Monitor project and program implementation status and coordinate with related departments to ensure work progress, documentation and procedures are completed properly and on time.
Track and update sales pipeline, clients database, partnership database, Commercial Tracker and internal reports of the company.

Administration & Operations

Any other responsibilities as may reasonably be required.
Coordinate with BOD and departments in building, improving and optimizing internal processes to support the stable and long- term development of the company.
Propose improvements in operations, data management and working processes to enhance operational efficiency.
Work with vendors, service providers, partners and related parties to ensure efficient operational activities.
Handle company registration documents and legal procedures as required, including working documents with government authorities, corporate legal documents, shareholder documents and related procedures.
Manage company legal documents, internal records, assets, equipment and internal data.
Support daily office administration, operations and internal management activities of the company.

REQUIREMENTS

REQUIREMENTS

To be considered, applicants should have the following minimum qualifications:
Proactive, responsible and willing to learn.
Strong organizational skills and attention to detail.
Experience supporting Business Development or cross- functional teams is highly preferred.
Ability to manage multiple tasks and work effectively in a fast- paced environment.
Good oral and written communication skills in Vietnamese and English.
Candidates with 1- 2+ years of experience in Sales Administration, Administration, Operations or related fields.
Proficiency in Microsoft Office, Google Workspace and related working tools.
Ability to work effectively both independently and as part of a team.
Good communication, coordination and problem- solving skills.

JOB DESCRIPTION

ACTUAL THINGS YOU’LL DO

Monitor client accounts receivable histories and coordinate sending professional payment reminders according to contract SLAs.
Prepare documents and records for periodic tax declarations (VAT, Personal Income Tax, Corporate Income Tax) under the guidance of the Chief Accountant.
Receive, classify, and verify the legitimacy and validity of incoming/outgoing financial source documents and invoices from cross- functional teams (Marcom, CE, CPL).
Support data entry into accounting software and update daily company expenditures accurately.
Assist in tracking and reconciling actual expenses of individual projects (Accelerators, Investment Forums, Workshops) against approved budget caps.
Take ownership of digitizing, organizing, and storing financial documents systematically and neatly on the shared Drive system according to company standards.

REQUIREMENTS

THE REQUIREMENTS

To apply, candidates must meet the following requirements:
Possess a "scannable" mindset in organizing files and structuring folder hierarchies neatly.
Careful, diligent, and responsible in work.
Final- year students or fresh graduates majoring in Accounting, Auditing, or Corporate Finance.
Proactive with a high level of responsibility.
Proficient in Excel/Google Sheets (understanding how to use basic logical formulas to manipulate data).
Able to work under pressure.
Good time management skills and the ability to handle multiple tasks simultaneously.
