Responsibilities
Source and manage office supplies and materials.
Perform translation tasks when needed.
Track staff attendance and update attendance records accurately.
Carry out any other tasks assigned by the Director.
Arrange housekeeping services and ensure office/workplace cleanliness.
Serve as the main point of contact between the Manager and internal/external stakeholders.
Organize and maintain an efficient office filing and documentation system.
Prepare employment contracts and manage all related filing.
Handle requests and queries promptly and appropriately.
Coordinate with external vendors, partners, and service providers.
Prepare reports, presentations, and briefing documents.
Arrange travel itineraries, transportation, and accommodation.
Screen and direct phone calls; handle incoming and outgoing correspondence.
Manage the Manager’s calendar, including scheduling meetings and appointments.
Take meeting minutes and prepare written notes when required.
Requirements
Proficiency in MS Office and strong English communication skills.
Ability to multitask and prioritize daily tasks effectively.
High level of discretion, professionalism, and confidentiality.
Familiarity with modern office equipment and productivity tools.
Strong verbal and written communication skills.
Knowledge of office administration, systems, and procedures.
Proven experience as a Personal Assistant or similar role.
Excellent organizational and time- management abilities.
