PURPOSE OF POSITION
Provides efficient and comprehensive secretarial services to meet the needs of customers
Directs all aspects of secretarial work in the hotel, maintains the executive office and all matters relating to executive administration in a confidential, professional manner
MAIN ROLES
Handling reservation as requested
Taking minutes of Department Heads /Ex.Com meeting as requested
Preparing monthly operational results for meetings with other hotels
Cooperates, coordinates and communicates with Department Heads and other inter- departmental secretaries as appropriate
Provides pertinent information on socio- political matters
Reports directly to and communicates with the General Manager on all administrative matters
Translating incoming letters, documents, articles by request
Storing and keeping all confidential information
Maintains the utmost confidentiality and discretion when handling business affairs
Supervises the work of the Executive Office staff (Secretaries, Receptionist, Messengers, Drivers)
Day- to- day secretarial work to include typing, filing, faxes and telephone etc.
Arranging internal / external appointments
Distribution of memos, letters and other information etc.
SUPPORTIVE ROLES
Maintain a close, cooperative relationship with other departments to guarantee effective communication.
Supervise employees&039; compliance with sanitation, cleanliness, fire prevention, health and safety standards.
Supervise and maintain the availability, cleanliness and tidiness of items used in the department.

QUALIFICATIONS
Education: Diploma in Business or Secretarial Study
Experience: 1- 2 years of secretarial experience, or an equivalent combination of education and experience
Credentials: Experience in 5 star Hotel is preferred.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
Tasks and Project Management
Ability to type 45 WPM
Proficient in the use of Microsoft Office
Good communications and writing skills
Proficient in spoken and written English (Korean prefered)
