Operating across Southeast Asia, GRT connects academic institutions with live industry environments- translating exposure into applied capacity and cross- border fluency.
Role Overview
This is a hands- on operations role responsible for the quality, coordination, and reliability of your assigned scope, directly impacting participant and partner experience. You will work across logistics, stakeholder coordination, documentation, and on- site support while continuously improving the processes and systems within your scope.
We are looking for a Program Associate to own assigned scopes within these programs, ensuring your areas are well- planned, execution- ready, and consistently delivered across program runs.
What You’ll Actually Do
Scope Ownership (Assigned Areas)
- Own end- to- end delivery of assigned scopes within internship and study trip programs (e.g., accommodation, transport, student communication, host coordination, briefings).
- Ensure your scope is execution- ready before each program run.
- Take responsibility for stakeholder experience within your scope.
Program Planning & Coordination
- Coordinate timelines and requirements with schools, universities, and host companies.
- Prepare program schedules, briefings, and participant information packs.
- Ensure all program components are aligned before student arrival.
Student & Partner Management
- Coordinate with host companies for internship scope, onboarding, and supervision.
- Maintain clear & professional communication between institutions, students, and partners.
- Liaise with students regarding accommodation, transport, visas, and program expectations.
Logistics & Operations
- Arrange accommodation, transport, venue bookings, and activity logistics.
- Track program checklists and timelines to prevent gaps and last- minute issues.
- Ensure all operational arrangements are confirmed and communicated clearly.
Documentation & Compliance
- Maintain accurate records of participants, partners, and program details.
- Prepare offer letters, program documents, and briefing materials related to your scope.
- Support visa documentation and administrative requirements where needed.
On- site Program Delivery
- Handle issues, changes, or emergencies calmly and efficiently.
- Ensure a positive experience for students and partners.
- Provide on- the- ground support during study trips and key internship periods.
Process, System & Cost Improvement
- Improve checklists, templates, and workflows related to your scope.
- Track costs within your scope and propose more efficient alternatives without compromising quality.
- Maintain clean documentation and trackers to ensure repeatability across program runs.
Ecosystem, Vendor & Cost Optimization
- Maintain a database of vendors aligned to program needs.
- Identify and evaluate potential vendors and service providers aligned to GRT’s standards.
- Research and propose vendor options to improve program quality, reliability, and cost effectiveness.
- Conduct initial outreach and information gathering with potential vendors before handover to the team.
What Success Looks Like
Within 6 Months
- Positive feedback from students, schools, and host companies.
- Independently owns assigned scopes across 2–3 program runs with minimal supervision.
- Clear, organized documentation and communication.
- Minimal operational gaps or last- minute issues within scope.
- Proposed vendor or process improvements that increased cost efficiency without compromising quality.
Within 12 Months
- Confidently managing multiple scopes across concurrent programs.
- Trusted by partners and students as a reliable point of contact for your scope.
- Improving at least 2 checklists, templates, or workflows adopted by the team.
- Anticipating operational needs before issues arise.
Ideal Candidate Profile
- Detail- oriented and able to manage multiple moving parts.
- Strong organizational and time- management skills.
- Comfortable with occasional evening or weekend work during program runs.
- 2–4 years of experience in operations, coordination, events, education programs, or similar roles.
- Commercially minded and able to assess vendor options with consideration for quality, reliability, and cost effectiveness.
- Calm under pressure and able to solve problems independently.
- Good communication skills in English.
