SCOPE OF WORK
The Project Development Administrator supports the Project Development team in the execution of real estate projects by ensuring effective coordination, documentation control, and administrative support throughout the project lifecycle. This role works closely with internal departments and external stakeholders to facilitate smooth project implementation, maintain compliance, and ensure timely delivery of project milestones.
KEY
RESPONSIBILITIES AND ACCOUNTABILITIES
• Assist in tracking project budgets, contracts, and payment schedules to ensure alignment with approved plans.
• Prepare, organize, and maintain project documentation, including contracts, legal documents, permits, drawings, reports, and correspondence.
• Maintain and manage both physical and digital filing systems for all project- related documents.
• Performs other related duties as assigned by Line Manager/HOD/Management.
• Coordinate with internal teams (Legal, Finance, Construction, Sales & Marketing) to ensure accurate and timely information flow.
• Provide administrative and coordination support across all stages of real estate development projects (planning, legal, design, construction, and handover).
• Monitor project timelines, track key milestones, and follow up with relevant parties to ensure deadlines and deliverables are met.
• Organize meetings, prepare materials, and record meeting minutes with clear action items and follow- ups.
• Compile, update, and present project status reports, summaries, and dashboards for management review.
• Provide general administrative support to the Project Development team, including handling day- to- day administrative tasks and ad- hoc requests.
• Support administrative procedures related to licensing, approvals, and regulatory compliance.
• Support communication and coordination with external stakeholders such as consultants, contractors, partners.

Education & Experience
• Basic understanding of real estate development processes is an advantage.
• Strong organizational, multitasking, and time management skills with high attention to detail.
• Bachelor’s degree in business administration, Real Estate, Construction Management, or a related field.
• Minimum 5 years of experience in project administration or coordination, preferably in real estate or construction.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint and Project management software i.e. Microsoft Project.
• Good communication and interpersonal skills with the ability to coordinate across multiple stakeholders.
• Good English reading, writing and communication skills.
• Ability to work under pressure and handle multiple tasks simultaneously.
