Merchandise Administration & Documentation
Coordinate with relevant internal teams (e.g. Legal, Supply Chain) to: Prepare, submit, and track merchandise- related documentation; Support compliance with regulatory and internal requirements
Maintain documentation tracking, version control, and proper filing for merchandise products.
Handle administrative tasks related to merchandise products, including product registration documents, customs clearance paperwork, and other required filings.
Follow up with external vendors and service providers to collect required documentation in a timely manner.
Support internal reviews, audits, or inspections related to merchandise documentation when required.
Store Merchandise Availability & Coordination
Provide regular status updates and basic insights to the Head of Brand Communications to support operational follow- up and planning.
Consolidate, prepare, and analyze basic merchandise availability reports, highlighting: Stock shortages, Replenishment needs, Repeated or recurring store issues
Monitor merchandise status at store level, including: Inventory levels, Stock shortages or gaps
Coordinate with Store Operations and Supply Chain to: Arrange stock transfers or replenishment based on actual store needs; Support smooth rollout or replenishment of merchandise items
Payment Requests, Vendor & Contract Coordination
Prepare, submit, track, and follow up on Payment Requests (PRs) related to merchandise activities.
Coordinate with external vendors and agencies regarding: Contract- related documentation; Administrative follow- ups related to delivery, invoicing, and payments.
Track PR status and processing timelines, flagging delays or recurring issues for follow- up.
Coordinate with Finance & Accounting to ensure accuracy and completeness of PR information.
Yêu cầu công việc
Good data handling and reporting skills, with the ability to consolidate information, prepare reports, and conduct basic analysis to identify trends, gaps, or recurring issues.
Familiarity with retail merchandise flow and store operations is an advantage.
Basic understanding of product registration and compliance procedures.
Experience working with product registration, customs procedures, or regulatory documentation is a strong advantage.
Strong administrative and coordination skills, with the ability to manage multiple documentation, payment, and vendor follow- up tasks in parallel.
Bachelor’s degree in Marketing, Business Administration, Supply Chain, or related disciplines.
Retail experience is preferred, especially in multi- store or chain environments.
03+ years of experience in merchandising, brand operations, marketing operations, or administrative coordination roles.
High attention to detail and accuracy, particularly in handling product registration documents, customs paperwork, and Payment Requests.
