- All office expense making payment and record
- Travel bookings control (flight and accommodation)
- Collaborate with HSEQ to ensure efficient office environment
- Coordinate with building management related to office fit- out when required
- Control and update documentation data list at outside- Storage
- Car scheduling/ bookings and drivers’ daily works supervises
- Updated and reconcile motorbike parking for staff with building management.
- Coordinate with IT team for office equipment purchasing, and maintenance
- ADM assistant / Cleaning service supervises
- Office fixed- assets purchasing and record for insurance purpose.
Responsibilities
- Assist on secretarial works / PA for the BLA management in Vietnam
- Logistic support for management board, principals and other department on:
- In charge of bike parking procedure for designed staff: Support and coordinate with the building management to arrange the parking lot.
- Liaise with the landlord/ building management for any related issues to office ADM issues regarding to the building interiors issue, service, security, maintenance, pubic announcement.
- Assist to Country Manager/Expats…. and support colleague’s requirements such as translation, public notarized, consular legalization...when required
- Travel Arrangements: making travel arrangements for the management board and staff, including booking flights, accommodation, transportation, and managing any necessary travel documentation. This may also involve coordinating travel itineraries and assisting with visa applications if required.
- Warehouse coordinate:
- Coordinate with the IT requests (fix the internet line, network line), cell and fixed phone troubles, laptops, PC&039;s problems.
- Liaised with vendors to order and maintain inventory of office supplies: stationery, water and others.
- Coordinate with HSEQ for transportation report monthly to HSEQ / Country manager.
- Follow up /update the outside- storage spreadsheet.
- Making all payment requests which are related to car expenses
- Update Admin’s Expenses file onward,
- Car arrangement for managers, customers, and staff.
- Taxi, desk phone, hand phone, electricity, office rental, car rental, car & bike parking, bonsai, courier, drinking water, network, internet charge, A/c maintenance, Cleaning service….ect"
- Control and check overtime record for drivers and submit to HR for monthly payment.
- Arrange annual health check- up for staff.
- Collaborate with HSEQ to ensure efficient office environment.
- Coordinate and support HR’s events and other tasks when required.
- Making all payments which are related to office expenses.
- Arrangement flower, gift, relative for marketing activities
- In charge of booking online DHL for Management when required
- Scheduling the car logs/bookings, car maintenance, car insurance, car inspection, etc;
- Coordinate with the administration colleagues in Ha Noi, Hai Phong, office expenses, phone allowance of staff, office assets insurance motive risks, laptop.
- Control the car expense, OT of drivers to make sure everything works smoothly…, combine checking monthly driving report, car booking, car log to calculate OT.
