Overview of Position
The HR Officer is responsible for supporting HR operations, with a focus on employee records management, directly handling documentation- related tasks in payroll, tax, and social insurance, as well as managing internal administrative duties. This position works closely with the staff responsible for payroll, tax, and social insurance to ensure accurate employee data and smooth HR processes.
Main Task & Responsibilities
Compensation & Benefits (50%)
Responsible for HR administrative tasks including employee data updates, leave tracking, labor contracts, personal income tax registration, social insurance and health insurance; ensuring all information is complete, accurate, and processed in a timely manner as follows:
• Responsible for collecting dependent information, handling dependent registration and deregistration, and maintaining accurate records and supporting documents.
• Responsible for tracking contract renewals, termination decisions, and employee offboarding status.
• Responsible for collecting and validating employee information to support payroll processing (e.g., personal data, bank account details).
• Responsible for auditing, updating, and maintaining employee data in the company’s FAST system, ensuring accuracy and compliance with internal policies.
• Responsible for managing social insurance procedures, including employee enrollment and termination, as well as preparing and processing benefit claims.
• Carry out other duties as assigned by the Line Manager.
• Responsible for preparing documentation related to employee compensation and benefits policies.
Admin (50%)
• Manage employee parking registration list: update, track, and coordinate with relevant departments to ensure proper allocation/registration.
• Monitor the condition and usage of uniforms; propose additional supplies when necessary.
• Responsible for employee administrative matters.
• Perform other administrative tasks as assigned.
• Support onboarding of new employees: prepare uniforms and employee ID cards.
• Manage employee uniforms: distribution, collection, tracking, and periodic inventory.
• Print and issue employee ID cards.
• Support internal communications and event organization activities as required.
• Ensure uniforms are sufficient in quantity, correct in size, and distributed to employees in a timely manner.
• Coordinate with relevant departments to update the uniform distribution list.
