Personal Assistant to General Manager

Attend and take accurate minutes during meetings, and actively track action items to ensure timely follow- up, accountability, and successful completion.
Perform additional duties and special assignments as directed by the General Manager, demonstrating flexibility, initiative, and a proactive approach to supporting overall business needs.
Build and maintain strong, professional relationships with clients and VIPs, while coordinating all arrangements for their arrivals and visits to ensure a seamless, personalized, and high- quality experience.
Be the onsite contact for Media and External Communications, working closely with Headquarters (HQ) and managing external communication channels to ensure consistency, accuracy, and professionalism.
Provide comprehensive administrative and executive support, including managing correspondence, preparing reports and presentations, monitoring issues, and ensuring proper follow- up; also provide interpretation or translation support when required.
Act as a key coordination point between the General Manager, management team, internal departments, and external partners, ensuring all communications are clear, well- aligned, and effectively support the smooth execution of daily operations and strategic projects.
Manage travel and logistics arrangements end- to- end, including bookings, flights, visa processing, and detailed itineraries, ensuring all plans are efficient, cost- effective, and aligned with company policies.
Oversee and coordinate audit processes within the resort, collaborating with relevant departments to ensure full compliance with company policies, operational procedures, and regulatory requirements.
Review all documents, contracts, and agreements carefully to ensure accuracy, completeness, and alignment with company standards before submitting them to the General Manager for approval.
Be the champion for the corporate identity and branding by ensuring that all communications, materials, and guest touchpoints consistently reflect and adhere to established brand standards and guidelines.
Manage and supervise the boutique (ROBINStore) operations within the resort, proper merchandising, and overall performance in line with business objectives.
Manage the General Manager’s calendar/schedule in a proactive and organized manner, including scheduling meetings, prioritizing appointments, and ensuring all daily activities are well- coordinated and run efficiently.
Support internal communications by ensuring all departments are consistently informed and aligned with key updates, business priorities, and directives from the General Manager and leadership team.

Proactive, flexible, detail- oriented, and equipped with a strong problem- solving mindset.
Bachelor’s degree in Business Administration, Hospitality, Communications, or related fields.
Excellent communication skills in both English and Vietnamese (all four skills); a third language is an advantage.
2–4 years of experience as a Personal Assistant, Executive Assistant, or in a similar role, preferably within a 5- star hospitality or service environment.
Strong organizational, multitasking, and time management skills, with the ability to work effectively under pressure.
Experience in travel coordination and audits, along with basic knowledge of communications and branding, is a plus.
