KEY RESPONSIBILITIES:
HR Operations & Employee Lifecycle (35%)
Ensure onboarding and offboarding procedures are completed smoothly and in compliance with company policies and labor regulations.
Maintain and update employee information and HR reports.
Coordinate work permit, visa, temporary residence card (TRC), and other legal procedures for foreign employees in compliance with Vietnamese regulations.
Support performance review and appraisal processes by coordinating schedules and documentation.
Handle and manage HR documentation, including labor contracts, probation agreements, confirmation letters, HR letters, and employee records.
Support HR compliance activities, including ISO documentation, internal/external audits, and maintaining HR- related processes and records.
Track employee attendance, annual leave, timesheets, and related HR data.
Assist employees with HR- related inquiries, company policies, labor contracts, insurance, and internal procedures.
Compensation & Benefits (20%)
Support payroll preparation by checking attendance, leave records, and related HR data before submission to Accounting.
Coordinate social insurance, health insurance, and related employee benefits in accordance with Vietnamese labor law.
Support implementation and communication of HR policies, procedures, and employee benefits.
Administration & Office Support (25%)
Prepare payment requests and administrative reports when required.
Support office administration tasks including office supplies, equipment issuance, expense tracking, and vendor coordination.
Support logistics and operational arrangements for internal events and company activities.
Recruitment & Onboarding Support (10%)
Support recruitment operations including interview coordination, onboarding preparation, and candidate communication.
Conduct orientation sessions for newcomers and help employees understand company culture, HR policies, and internal regulations.
Collaborate with Hiring Managers and HR team to ensure a smooth onboarding experience.
Internal Communication & Employee Engagement (10%)
Act as a communication bridge between employees and management when necessary.
Work closely with the Internal Communication team to organize company activities such as happy hours, birthdays, team building, company trips, mini- games, and internal events.
Coordinate internal communication activities and employee engagement programs.
Support building a positive, collaborative, and employee- friendly working environment.
REQUIREMENTS:
Good understanding of Vietnamese Labor Law, HR operations, and employee relations.
Good command of English is a strong advantage.
Well- organized, proactive, and capable of handling multiple tasks simultaneously.
Good problem- solving and coordination skills.
Hands- on experience in handling work permits, visas, temporary residence cards (TRC), and other legal procedures for foreign employees.
Strong communication and interpersonal skills with the ability to work effectively with employees across departments.
Minimum 4–5 years of experience in HR & Administration, preferably in IT outsourcing or software development companies.
Experience in ISO compliance, HR documentation management, and supporting internal/external audits.
Experience in onboarding, HR operations, internal communication, and office administration.
Proficient in Microsoft Office, Google Workspace, and digital collaboration tools.
Strong attention to detail with the ability to maintain accurate HR documentation and ensure compliance with legal and company requirements.
Nice to Have
Experience working in fast- paced IT environments.
Ability to contribute ideas for improving HR workflows and employee experience.
Experience in employer branding or employee engagement activities.
Familiarity with HRM systems, payroll coordination, or C&B processes.
