ODM works with international brands, creative agencies, and global marketing teams to develop and produce promotional products and packaging.
ROLE OVERVIEW
Department: HR
Position: HR Generalist
We are seeking an organised, motivated, and energetic HR Generalist with excellent English communication skills (both written and spoken). The ideal candidate thrives in diverse roles, enjoys interacting across departments and countries, and is passionate about creating a positive workplace culture.
Working time: Mon- Fri (8:00- 17:00, lunch- break: 12:00- 13:00)
KEY RESPONSIBILITIES
Human Resources Management
Employee Lifecycle Management
Oversee end- to- end HR processes: recruitment, onboarding, performance evaluation, engagement, development, and offboarding.
Recruitment & Workforce Planning
Collaborate with department heads and the BODs on workforce planning, talent acquisition, and performance review initiatives.
Support recruitment activities for the China office, coordinating with relevant stakeholders to fulfill hiring needs effectively.
Support internal mobility, employee relations, and performance improvement plans.
Manage the recruitment process, ensuring timely and quality hires.
HR Operations & Compliance
Coordinate with tax/accounting vendors for accurate and timely payroll, insurance, and PIT submissions.
Generate and present periodic HR reports to the BODs on staffing, headcount, and HR- related issues.
Organize and coordinate internal events: monthly birthdays, team gatherings, onboarding/farewell sessions, festive celebrations, etc.
Employee Engagement & Culture
Actively contribute to creating an inclusive, positive, and engaging work environment.
Maintain and update HR records including employee profiles, contracts, job descriptions, and evaluation documents.
Legal Compliance & Documentation
Manage labor contracts and company regulations.
Ensure all documents and procedures are audit- ready and compliant with corporate and legal standards.
Ensure full compliance with Vietnamese labor laws and internal HR policies.
Maintain and update legal documents of the Vietnam office: licenses, company seals, registrations, board resolutions, etc.
Office Operations & Vendor Management
Directly liaise with vendors to address service issues, ensure service level quality, and resolve any discrepancies.
Ensure uninterrupted day- to- day office functionality and smooth coordination with internal departments.
Resolve all operational issues in the office such as IT support, equipment failures, and office repairs.
Manage all office- related contracts with vendors: cleaning, maintenance, IT, and other service providers.
Handle payment processing, contract renewals, and performance tracking for vendors.
Oversee daily office operations: facilities, equipment, utilities, and vendor coordination.
Financial Operations & Budget Control
Review and verify financial documentation related to office operations and vendor payments.
Supervise HR and office budgets; monitor actual vs. planned costs and provide monthly reporting to the BODs.
Manage office operational cash flow and ensure compliance with tax and financial regulations.

QUALIFICATIONS
Fluent Business English and Vietnamese, both written and verbal (IELTS 7.0+)
Bachelor’s degree in Human Resources, Business Administration, Law, or a related field.
Proven experience in agency, marketing, advertising, or B2B client- facing environments is highly preferred.
Strong knowledge of Vietnamese labor law, office compliance, contract management, and vendor coordination.
At least 5- 8 years of experience in HR operations and office management, ideally in a multinational setting.
Proficient in HR reporting, budgeting, and internal communication.
